This Event Budget Worksheet can be used for a range of different types of events, including weddings. Three budget examples are included in the template: a scout camp, a seminar, and a cycling race, all of which require a budget.
While you are filling out the form, the top portion of the worksheet serves as a quick reference for the expenses, income, and final balance associated with the event.
In addition to being able to see where your spending are going, there is a bullet chart that allows you to see how your expenses and income compare, as well as a goal for expected income that you can see.
The following stages demonstrate how you might go about creating a budget for something like a group camping trip:
Calculate the number of persons who will be attending from each category. It is possible to keep track of this in the Income/Funding section by putting the number of persons in each group in the “estimated quantity” column, but for the time being, you should leave the unit cost at zero.
Use the “Expenses” column to specify expenses, some of which may be dependent on the overall number of persons who will be attending the event. If it is more convenient for you, you may choose to develop a formula that links to the Income/Funding area.
The first line of the Income/Funding section should contain the name of the initial source of funding (for example, an existing camp budget). If you do not have an initial source of funding available, enter a blank line.
Consider the balance at the top of the worksheet and divide it by the number of persons who will be attending to arrive at a per-person estimate of the cost per person.
The income/funding section should include a breakdown of the fees that you intend to earn from each group based on the cost per person that you estimated earlier.
